This position provides reception services to the Human Resources (HR) Department and is the first point of contact for clients who telephone, e-mail, or visit the office in person. The incumbent responds to employee questions regarding basic benefits information and provides routine information regarding all Human Resources services. In addition, the incumbent is responsible for preparing vacancy postings (approximately 500 annually) for all non-academic (i.e., administrative, managerial and professional, office support, technical, library, and trades) positions and receives, sorts, and compiles all applications. Creates hard copy and electronic competition files when postings have closed and compiles applicant information on a tracking sheet for review by the applicable hiring supervisor. The Confidential Receptionist maintains competition statistics, filing systems, and Human Resources forms; and administers standard clerical skills tests to applicable applicants as required.

Qualifications:

  • One year of post-secondary education in business administration or human resource management, and 2 years of related receptionist/office experience including experience in a high-volume, busy office environment, or an equivalent combination of education, training, and experience.
  • 55 wpm keyboarding with a high degree of accuracy.
  • Demonstrated ability to effectively use standard office applications (e.g., e-mail, word processing, spreadsheet, web updating applications, complex database systems and the internet) at an intermediate level.
  • Demonstrated ability to process a high volume of information with a high degree of accuracy and meet deadlines.
  • Excellent customer service, interpersonal, and verbal communication skills.
  • Excellent organizational skills.
  • Excellent proofreading skills and attention to detail.
  • Good written communication skills.
  • Demonstrated ability to multitask and work with frequent interruptions.
  • Demonstrated ability to handle confidential material with discretion.
  • Demonstrated ability to follow oral and written instructions accurately.
  • Demonstrated ability to exercise mature judgment and initiative.
